Notes & Tips — Requesting Carrier Contracts SOP · Onboarding

When you submit contract requests in SuranceBay, each carrier asks you to select which product lines you want appointment for. Use this as your reference.

    Which lines to select

    • Medicare Supplement
    • MAPD (Medicare Advantage with Prescription Drug)
    • MA (Medicare Advantage, no drug coverage)
    • PDP (Prescription Drug Plan)
    • Accident/Sickness
    • Dental/Vision
    • Fixed Life / Life (where applicable)

If you plan to offer Marketplace / ACA insurance, also select IEX and ACA on these forms.

    Carrier-specific notes

    • Aetna: Your onboarding partner will send this contract directly. You don't need to request it through SuranceBay.
    • Healthspring (Cigna), Devoted Health, Wellcare/Centene: Transferring agents — after requesting these in SuranceBay you'll need to submit a hierarchy change request on each carrier's own portal.
      • Agents direct under Camille: agency to select is Family Legacy Plus, NPN 21157833.
      • Agents under one of FLP's partner agency leaders: ask them for their agency name and NPN.
    • Houston-market carriers (KelseyCare Advantage, Memorial Hermann, Verda) and SCAN: use the "Carriers Not in SuranceBay" Zoho form — there's a specific link for those.
Recommended Carriers List Reference · Onboarding

These are the carriers FLP recommends requesting contracts with. Request contracts through SuranceBay first; the broker portal links below are where you'll log in after the contract is in place to manage business, run quotes, and pull commissions.

Need a carrier that isn't in SuranceBay? Use the "Carriers Not in SuranceBay" form in your Roadmap. KelseyCare, Memorial Hermann, Verda, and SCAN are common examples for the Houston market.

    Tech Setup

How to Set Up a Google Voice Number How-to · Tech

Google Voice gives you a separate phone number that rings to your real phone — great for keeping your personal number private and creating a dedicated business line for clients.

    1. Go to voice.google.com and sign in with the Google account you want to use (consider creating a new one for business).
    2. Pick "For personal use" (Google Voice's business tier costs extra and isn't required for our use).
    3. Search for an available number in your area code — pick one that's easy to share.
    4. Verify your existing personal phone number so Google can forward calls to it.
    5. In Settings, set up a professional voicemail greeting. Suggested: "Hi, you've reached [Your Name] with Family Legacy Plus. I help Medicare-aged adults navigate their benefits options. Please leave your name, number, and a quick message, and I'll return your call within one business day. Thanks!"
    6. Test it by calling the new number from another phone.

Why it matters: Compliance-wise, having a separate business line makes it cleaner to record calls, track which leads called you, and keep client communication away from your family's phone.

Create a Dedicated Professional Email How-to · Tech

A separate business email keeps client communication clean and ensures you don't miss carrier notices buried in your personal inbox.

    1. Create a new Gmail (or other professional email) account. Suggested formats:
      • firstname.lastname@gmail.com
      • firstnamelastname.medicare@gmail.com
      • firstname.lastname.flp@gmail.com
Avoid playful or personal handles — your clients will see this.
    2. Set up a professional signature. Example:
      [Your Full Name]
      Licensed Medicare Advisor
      Family Legacy Plus
      [Phone] · [Email]
      NPN: [Your NPN]
    3. Add your headshot or the FLP logo as your email avatar.
    4. Set up vacation/away responders for AEP (Oct 15 – Dec 7) and OEP (Jan 1 – Mar 31) windows so clients know when you'll get back to them.
    5. Use this email for every carrier contract, every CRM signup, every system login — never your personal email.

    Social Media

Quick Steps — Set Up a Facebook Business Page How-to · Social

A Facebook Business Page is the foundation of your online presence as a Medicare advisor. It separates client-facing posts from your personal profile and unlocks Meta's scheduling and ad tools.

    1. Make sure you have a personal Facebook account first (FB Business Pages are created from a personal profile).
    2. Go to facebook.com/pages/create and click "Create New Page."
    3. Enter your Page name — suggested: "Your Name — Medicare Advisor with Family Legacy Plus."
    4. Choose category "Insurance Agent" or "Financial Service."
    5. Add a short bio describing who you help and how.
    6. Upload a professional headshot as profile photo, and an FLP-aligned cover photo.
    7. Add contact info (business email, business phone), hours, and your service area.
    8. Invite a few friends and family to follow your new Page so it doesn't look empty.
    9. Pin a "Welcome" post introducing yourself and the kinds of clients you serve.
How to Schedule Posts for Later (Meta Business Suite) How-to · Social

Scheduling lets you batch-create posts on quiet evenings and have them auto-publish during peak engagement windows.

    1. Open Meta Business Suite at business.facebook.com on desktop, or the Meta Business Suite app on your phone.
    2. In the left sidebar, click "Posts & Reels" → "Create Post."
    3. Choose where the post should go: your Facebook Business Page, your linked Instagram account, or both.
    4. Write your caption, add images or video, and tag any partners or locations if relevant.
    5. Instead of clicking "Publish," click the small arrow next to it and choose "Schedule."
    6. Pick the date and time you want the post to go live.
    7. Click "Schedule" — you're done!
    8. To view, edit, or reschedule later: go to "Planner" in the left sidebar.

Best windows for the Medicare audience: 9–11 AM and 6–8 PM tend to be high-engagement for Medicare-aged adults and their adult children.

    Systems & Logins Reference

FLP Systems Reference — What Each Login Is For Reference · Systems

FLP agents use a handful of separate systems through onboarding and active business. Here's what each one is, and where to start.

    • SuranceBay — FLP login + carrier contracting. The main hub for requesting carrier appointments.
    • LeadCENTER — Lead distribution. Where leads from FLP marketing activity get assigned.
    • PlanEnroll — Online enrollment platform. Used for actual MA/MAPD applications.
    • Integrity Connect — CRM, quoting, and enrollment (formerly MedicareCENTER).
    • GPB (Global Premier Benefits) — Email mcaplan@globalpremierbenefits.com to request your login.
    • ZOHO CRMRequired for Partner Agency Leaders only. Agents do not need a ZOHO account. Partner Agency Leaders: request your account from Camille.
    • AHIP — Annual certification. Required before you can sell Medicare Advantage in any given year.
    • Sircon — Background check & licensing.
    • NIPR (National Insurance Producer Registry) — Where agents and Partner Agency Leaders request new state licenses and renew existing ones. Visit nipr.com → Licensing Center.

Partner Agency Leaders — important: Your licensed states must match every state your downline agents are licensed in. If one of your agents is licensed in a state where you are not, you cannot supervise their business in that state. Use NIPR to add any missing state licenses before bringing on agents licensed there.

Save every credential in your My Vault as you create logins. It encrypts each password on your device before it ever leaves your browser.

Request your Global Premier Benefits (GPB) Login How-to · Systems

GPB is FLP's FMO. You need access to their portal as part of onboarding.

    1. Email Michael Caplan at mcaplan@globalpremierbenefits.com.
    2. Include: your full name, NPN, business email, and a note that you're a new FLP agent.
    3. Wait for him to send your login credentials.
    4. Save them in your My Vault.

    Reference Lists

My Medicare 101 Deck (Personalized) Tool · Sales Presentation

Your client-facing 30-slide Medicare 101 deck. When you click Download My Deck, FLP injects your name, phone number, license, email, and QR code so you can hand it to a client or open it in a presentation immediately. Available to Active producing agents only.

Want the QR to point to your PlanEnroll page? Add your PlanEnroll URL to your profile under Settings → PlanEnroll Link. Without it, the QR falls back to a contact card (vCard) with your phone + email so clients can save you to their contacts directly.

Generates a fresh .pptx file with your contact info merged in. Updated annually by Camille.
